Guest arrivals and changeovers in Egypt: the work between two bookings

The next stay begins before the next guest arrives. A good changeover connects departure, inspection, cleaning, supplies, access and a final decision that the property is ready. Giving each stage an owner is more useful than assuming a cleaner will somehow cover everything.

Build the changeover around the property

Walk through the real unit and write a room-by-room task list. Include the less visible details: food left in cupboards, bin arrangements, remote-control batteries, the condition of linen and the equipment the next guest will use. Match the list to the advertised amenities rather than copying a hotel checklist full of items your property does not have.

Estimate the time using an actual trial, including travel through the compound, entry, laundry handling and inspection. A two-bedroom label does not tell you how long the job takes. Agree what happens if checkout is delayed or a problem is discovered. The person scheduling arrivals needs an honest readiness time, not an optimistic slot that depends on everything going perfectly.

Separate cleaning from checking for damage or defects

Cleaning restores the property for use; inspection notices what has changed or stopped working. Ask for a concise record of exceptions, with relevant dated photographs taken when appropriate and without exposing guest belongings or personal information. A photo of a made bed does not establish that the air conditioning, hot water or door lock works.

Sort findings by the action needed. An urgent safety concern or an essential failure needs prompt escalation and appropriate professional help. A cosmetic mark may be logged for planned attention. Do not ask cleaners to diagnose electrical faults or make repairs beyond their competence. Make clear who can decide that a unit should remain unavailable while a defect is resolved.

Give linen and consumables their own plan

Count usable linen, not just the number of sets originally purchased. Separate clean, used, stained and damaged stock, and agree the route for each. Keep enough suitable spare items for the laundry turnaround you actually have. Check sizes and condition before the next guest arrives, so a missing sheet does not become a last-minute shopping trip.

Define the consumables included in the stay and a practical reorder point. Record replacements and supplier receipts so that spending is visible to the owner. Keep cleaning chemicals stored appropriately and follow product instructions; never improvise mixtures. For a property exposed to sand or salt, include the areas where it accumulates in the inspection, rather than merely adding more fragrance to the rooms.

Release the property before sending the final arrival message

Nominate somebody to confirm readiness: the agreed work is complete, reported issues are resolved or properly handled, access has been checked and essential supplies are present. The release can be a short checklist, but it should represent a real decision. If work is unfinished, tell the person managing the booking while there is still time to respond responsibly.

Send concise, verified arrival instructions covering the right entrance, the unit and the agreed access method. Review permission status separately where a compound requires it. Remove outdated codes from reusable messages and manage keys or digital access according to the agreed security process. The guest should receive the current version of the instructions, not a chain of corrections from earlier stays.

Agree the response when the handover does not go to plan

Write down who handles a late arrival, unavailable key, failed clean or essential service problem. Distinguish normal guest messaging from emergency support. Review repeated defects and guest questions after the booking, while keeping personal data to what is needed. If the same lock, linen shortage or instruction causes trouble twice, change the underlying arrangement. A workable changeover plan gives the owner evidence of what happened and gives the next guest a prepared home, without claiming that any checklist can eliminate every problem.

Common questions

Does a cleaner’s photo mean the unit is ready?

It is useful evidence of a particular task, but readiness also requires the relevant access, equipment and unresolved-issue checks.

Can I offer same-day changeovers?

Only where the real cleaning, inspection, access and backup arrangements support the promised arrival time. Test the process and retain enough time for problems.
