Guest privacy notice
This is a translation. The Arabic version of this document is the authoritative text and governs its interpretation. This English version is provided for convenience only. If the two differ, the Arabic prevails. Read the Arabic version.
Who we are
[Egyptian company name], trading as Hive Stewards, manages this property on behalf of its owner. For the parts of your stay that we handle, we decide how your personal data is used, which makes us the controller under Personal Data Protection Law No.151 of 2020.
The property owner and the booking platform each have their own purposes for your data, governed by their own notices.
Where your details came from
From the booking platform you used, or from the property owner. We do not take bookings directly.
What we hold
- Your name, email and phone number
- The dates of your stay and how many people are staying
- The names of those with you, where the booking gives them
- Your arrival time, and vehicle details if you give them to us
- Messages between us, entry notes, and anything that came up during the stay
Compound entry permits
What is required differs from one compound to another. It may include nationality, passport or national ID number, copies of those documents, vehicle details and arrival time. We pass on only what that compound requires, and we hold the copies no longer than we must.
Official guest reporting
The property owner is the licence holder and is responsible for providing guest details to the Ministry of Tourism and Antiquities within the periods set by the Tourist Establishments Law No.8 of 2022. We hand the necessary details to the owner for that purpose, and we do not report them ourselves.
What we use it for
- Running your stay: arranging entry, answering your questions, and coordinating cleaning and maintenance.
- Looking after the property and the people in it: knowing who is staying, and dealing with anything that comes up.
- Asking for a review: we may message you after checkout through the booking platform alone to ask what you thought. We do not email or text you separately. Tell us and we stop.
- Keeping records: the accounting and tax records the law requires us to keep.
Cameras
Some properties have external cameras or a video doorbell. These belong to the property owner and are operated by them, and we cannot view the recordings. If there is one, it should be disclosed on the listing.
Who we share it with
- The property owner
- Compound management and security, so far as needed to issue your entry permit
- Cleaners and trades, who are given only what the job requires
- The booking platform you booked through
- Our accountant and professional advisers where needed
We do not sell your data and we do not use it for our own marketing.
How long we keep it
- Messages and booking records: 12 months from the checkout date
- Copies of identity documents: deleted within 30 days of checkout at the latest, and sooner once the purpose has been served, unless a legal obligation requires longer
- Anything that forms part of the financial records: 5 years, under the Unified Tax Procedures Law No. 206 of 2020
Where it is held
We share the same systems with our sister company in the United Kingdom, so its staff can reach records held on them, which means your data is held outside Egypt. That transfer happens only within the limits allowed by Personal Data Protection Law No.151 of 2020, and we are working to obtain the authorisation required from the Personal Data Protection Centre.
Your rights
You can ask to see your data, obtain a copy, correct it, have it erased, restrict its processing or object to it. Email us at dpo@hivestewards.com, and we reply within six working days of receiving the request, free of charge. We may ask you to prove who you are first, so that we do not hand your data to someone else.
You can also complain to the Personal Data Protection Centre at any time. You are not required to come to us first.
